This Privacy Policy explains how OptiME Health ("OptiME," "we," "us," or "our") collects, uses, discloses, and protects information when you visit our website, register for a webinar, request information, complete an assessment, book a consultation, or otherwise communicate with us.

Important healthcare notice: This website privacy policy is not a Notice of Privacy Practices under HIPAA. If you become an OptiME patient, protected health information created or maintained as part of your care may also be governed by a separate Notice of Privacy Practices, which will control if it conflicts with this policy.

1. Information we collect

Depending on how you interact with us, we may collect:

  • Contact information, such as your name, email address, telephone number, mailing address, and communication preferences.
  • Form and assessment information, including webinar selections, goals, general health interests, eligibility responses, and information you choose to provide.
  • Appointment and transaction information, such as consultation dates, services selected, payment status, and billing details. Payment-card information may be processed directly by our payment provider rather than stored by us.
  • Technical and usage information, such as IP address, browser type, device identifiers, referring pages, pages viewed, approximate location, and interactions with our website, emails, and advertisements.
  • Communications, including emails, text messages, calls, support requests, and feedback.

Please do not submit urgent, highly sensitive, or detailed medical information through a general website or webinar form. Use the secure patient channel provided to you for clinical communications.

2. How we use information

We may use information to:

  • provide requested content, webinar access, consultations, services, and support;
  • create and manage contact, appointment, and customer records;
  • send transactional emails and, when you have separately consented, text reminders;
  • respond to inquiries and determine whether our services may be available in your location;
  • operate, secure, troubleshoot, analyze, and improve our website and services;
  • measure campaign performance and show relevant advertising, subject to applicable law and your choices;
  • prevent fraud, protect rights and safety, and comply with legal or regulatory obligations; and
  • carry out another purpose described when information is collected or for which you give consent.

3. Text messages and email

If you check an SMS consent box, you authorize OptiME to send the type of messages described beside that box at the number you provided. Consent is optional and is not a condition of purchase. Message frequency varies, and message and data rates may apply. Reply STOP to opt out or HELP for assistance. Opting out of texts does not prevent service-related communications through other channels when legally permitted.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties, except the messaging service providers that deliver our messages on our behalf. OptiME does not sell mobile phone numbers or SMS consent, and mobile information collected for text messaging is used only to deliver the messages you requested.

You can unsubscribe from marketing email using the link in the message. We may still send non-promotional communications necessary to fulfill a request or administer an existing relationship.

4. Cookies, analytics, and advertising

We and our service providers may use cookies, pixels, local storage, and similar technologies to operate the site, remember preferences, understand traffic, prevent abuse, and measure advertising. These technologies may receive technical and usage information from your browser.

We do not intend to send the substance of health-assessment answers, diagnosis information, prescription information, or patient-portal information to advertising platforms. Browser controls and any consent tool made available on our site may allow you to limit non-essential technologies. Disabling them may affect site functionality.

5. How we disclose information

We may disclose information to:

  • vendors that support hosting, customer relationship management, forms, scheduling, communications, analytics, security, payments, and professional services;
  • clinical and operational personnel who need the information to respond to your request or provide services;
  • government authorities or other parties when required by law or reasonably necessary to protect rights, safety, and security;
  • a successor or prospective successor in connection with a merger, financing, reorganization, or sale of assets, subject to appropriate safeguards; and
  • other parties at your direction or with your consent.

We do not sell your medical records. We do not use detailed clinical information for targeted advertising.

6. GoHighLevel and other service providers

Our website, forms, scheduling, customer communications, and automation may be supported by HighLevel/LeadConnector and other service providers. Those providers process information on our behalf under their own contractual and security obligations. Some third-party services may also collect information under their own privacy policies when you interact directly with them.

7. Retention and security

We retain information for as long as reasonably necessary for the purposes described above, to provide services, maintain business and clinical records, resolve disputes, enforce agreements, and satisfy legal requirements. Retention periods vary by record type and applicable law.

We use reasonable administrative, technical, and physical safeguards designed to protect information. No internet transmission or storage system is completely secure, so we cannot guarantee absolute security.

8. Your privacy choices and rights

Depending on where you live and subject to legal exceptions, you may have rights to request access to, correction of, or deletion of certain personal information, or to obtain information about how it is used and disclosed. You may also be entitled to appeal a decision or opt out of certain targeted advertising, sale, or sharing activities. We may need to verify your identity before completing a request.

9. Children

Our website and services are intended for adults and are not directed to children under 13. We do not knowingly collect personal information from children under 13 through this website. If you believe a child has provided information to us, please contact us.
